How to use Outreach Support

How to use Outreach Support

The Outreach Support tool helps you acquire more backlinks by automating aspects of link building. See the guide below to use.

Step 1: Add Prospects

You can add prospects to Outreach support by clicking on "+ Outreach Support" button in the Backlink Gap tool. See this guide for more details.

You can also add prospects directly from the Outreach Support tool by uploading a CSV or manually by typing the details if you have already saved prospects from Backlink Gap or uploaded a CSV previously. If this is your first time, follow the steps below to upload using a CSV.
  1. Navigate to "Link Building" on the top navigation within Konvart
  2. Click on Outreach Support
  3. Click on "+ Upload New Prospects"
  4. Select your Project
  5. Upload prospects using a CSV. You can download an example CSV from the upload screen or upload any CSV you have, including those downloaded from other backlink research tools.

Step 2: Review added prospects

Your upload is not complete until you have reviewed your uploaded prospects.

Ensure you select a "Link Building Prospect" column. Here's what each column means:
  1. Link Building Prospect = referring domain, e.g., from backlink gap that would be domains linking to your competitors but not to you. These can be URLs as well. This column is required.
  2. Example referring page = referring URLs linking to competitors. These must be URLs. This column is optional, but if you do not add this column, Outreach support will only use "Request link prices" as a strategy for that prospect.
  3. Backlink on referring page = links of your competitors on the referring domain or URL. That means your competitor's link on that domain or page. This is optional.
  4. DS = The strength of the referring domain. If uploading from other tools, it might be called the Authority or Rating of the domain
  5. PS = The strength of the referring URL. If uploading from other tools, it might be called page or URL Authority or Rating
  6. Don't import this column = By default, columns you did not select are not uploaded. However, if the system had automatically matched a column to one of the column headers discussed above and it is not relevant to any other header, you can unselect it by using "Don't import this column"
Then click on the Upload button.

You can then view your uploaded prospects in Outreach Support.

  1. Total Prospects = total prospects for that project
  2. Pitches written = total number of manual + AI-composed pitches
  3. Pitches sent = number of pitches sent through Konvart
  4. Prospects reached = number of pitches sent that were delivered successfully, that is did not bounce

Step 3: Compose Pitch Email

  1. Request link prices: This results in a simple email requesting the prices to publish a link on that site. It is often effective when reaching out to blogs
  2. Guest post: If you use AI to generate the pitch, this results in an email that is customized based on the referring domain, referring URL, and your website's context.
  3. Link Insertion: If you use AI to generate the pitch, you will receive a customized email based on the referring domain, referring URL, and the page you want to link to (the page where your link will be inserted). If you don't have a page that will work, the system will generate an idea for a link insertion alongside the email so you can create that page using the idea provided while pitching as though the page is already in progress.

2. Compose Email

If you had selected "Request link price", the system would create the email for you automatically. If you selected Link insertion or Guest post, click on "Compose Email".

On the compose page, select the person you are pitching to. This person should correspond with the email address you use to send a pitch, and the personality is the profile of that person. To create a personality, click on "Pitch as someone else", then enter the personality's name, position, company, industry, and what the company does, and save.

If you selected Link insertion, you also have to specify that you want Konvart to give you an idea for a page to create for link insertion if you don't have a page in mind (linkable asset) already.

Additionally, confirm that you want the link insertion on the referring page or not. If you select no, you can paste the URL you want a link insertion on for context.

Then click on Compose with AI. Your written email (and idea, if that was selected) would be provided to you. You can also compose pitches manually.

Step 4: Send Pitches

To send pitches through Konvart, two things are needed: your email address connected for SMTP and the email address of the recipient.

1. Connect Your Email Address

See this guide on how to connect your email address (SMTP) to Konvart. After connecting your email address, go to your Outreach Support homepage, click on the three dots beside your project, then click on "Settings" to select the email address you want to use for that Outreach Support project.

Then select your email address as a sender, the Personality, and time settings (when emails should be sent – timezone and hours).

2. Email address of the recipient

We are currently working on an email finder feature to help you find prospects' email addresses. Pending that update, you can manually add email recipients on the compose screen:

After adding the email and your email address, you can click on send, and the email will be scheduled for the best time based on your success rate and stats we have for that domain.

After an email is sent to that prospect, you can review the details by clicking on "View sent pitch" to see when the pitch was sent and the status (sent or failed/bounced).
